Job Summary
In this role, you’ll handle a variety of administrative and organizational tasks — from managing CRM data and scheduling appointments to preparing documents and coordinating tasks. You’ll also assist with light social media support, including using Compass’s marketing tools to create and schedule posts.
The role is ideal for someone who enjoys structure, clear communication, and a blend of admin and marketing tasks in a fast-paced real estate setting.
Key Responsibilities
- Administrative & Operational Support
- Provide administrative and organizational support for real estate operations
- Manage schedules, appointments, and CRM updates (Compass CRM)
- Prepare documents, contracts, and listings with accuracy and timeliness
- Coordinate tasks and deadlines across ongoing projects
- Follow up on communications with clients, leads, and partners
- Proactively plan and assist with client and lead engagement
- Develop and document Standard Operating Procedures (SOPs) for recurring tasks
Social Media & Marketing Support
- Assist with creating posts and marketing materials using Compass’s built-in tools
- Support basic social media management using Buffer and CapCut
- Collaborate with marketing or design partners as needed
Qualifications
Must-Haves
- Minimum of 3 years of real estate administrative experience (listings, escrow timelines, client coordination)
- Proficiency with Compass CRM, Google Workspace, and AI tools (ChatGPT, Grammarly, Gemini)
- Professional communication skills via email, chat, and phone
- Strong attention to detail — precise data entry, grammar, and task follow-through
- Fast learner and adaptable to established email and communication formats
- Reliable, responsive, and available during Pacific Time business hours
- Maintains confidentiality with all client, transaction, and financial information
- Works exclusively with the client’s team — no other Los Angeles–based agents or competing clients
Nice-to-Haves
- Experience managing designers or marketing contractors
- Familiarity with Buffer and CapCut
- Understanding of real estate marketing materials and branding
