[Remote] Director, Administrative Pool - Founding Fractional Role

Note: The job is a remote job and is open to candidates in USA. Oh! Love Ya Dawn Company is a dual-entity ecosystem focused on making love visible and safeguarding children. The Director of Administrative Pool will lead the administrative support function across both the Company and Foundation, ensuring smooth execution and organization for the executive teams.

Responsibilities

  • Manage and mentor the Exec Admin team (including existing and future hires).
  • Assign support coverage across leaders in both the Company and Foundation based on workload, deadlines, and operational intensity.
  • Create a balanced, predictable support rhythm — even with part-time or fractional staff availability.
  • You will bring calm and order to: Calendars, Meetings, Schedules, Email triage, Priority management, Deadlines, Time-protection, Access control, Document organization, Follow-through.
  • You will design systems so executives (especially the founder) can focus on leading — not drowning in administrative debris.

  • Support executives in both organizations with: Prep for Company leadership meetings, Prep for Foundation Board activities, Committee scheduling and follow-up, Cross-entity project coordination, Document and folder organization shared across both drives, Governance calendar reminders (Foundation), Strategic roadmap support (Company)
  • Design and implement simple, scalable administrative systems for: Inbox organization, Folder and archive structure, Calendar norms and standards, Intake and communications protocols, Executive access and communication boundaries, Meeting prep templates and follow-through workflows, Organization of key files across both entities, Resource deployment forecasts
  • Work in close partnership with the Global Chief People Officer to: Forecast future administrative staffing needs, Identify when an exec is nearing burnout, Preemptively allocate fractional or full-time support, Recommend when new admin hires or contractors are needed, Align administrative bandwidth with both entity growth curves.

Skills

  • 7+ years in admin leadership, EA management, operations, or Chief-of-Staff–adjacent work.
  • Experience supporting multiple executives simultaneously.
  • Demonstrated ability to create calm and clarity for high-creativity, high-output leaders.
  • Strong organizational instincts, impeccable judgment, and deep emotional intelligence.
  • Ability to lead without ego and support without overwhelm.
  • Startup or multi-entity operational experience strongly preferred.
  • Familiarity with cross-entity structures (nonprofit + company) is a plus.
